We offer low fees, nearby entertainment, sites to camp near your booth, vendors-only showers, a Wednesday night potluck, and more! This creates a supportive and encouraging space for you to bring your offerings of goods or services to the members of Spirit Haven.

Festival Vendor Fees

During the application process, you will choose your booth size, upload required documents, and select additional options for vending.

Pathway to Becoming a Vendor

Activate your membership.
Submit your application during early and regular application dates.
We will notify you about the status of your application one week after the close of each application window.

If Approved:

We will send you an invoice to pay your vending fees.
We will send you additional information regarding festival particulars.
We invite you to join the Vendors-Only Facebook Group to connect with other vendors.

At Festival:

As a vendor you receive free entry on Tuesday to begin set-up.
Check in with the Vendor Representative to receive directions to your space, Wi-Fi password, and shower code.
Share a favorite dish with your fellow vendors at the Wednesday Night Vendor’s Potluck.
Set up and be ready to open by 12PM Thursday when festival officially begins.
Submit your entry for the Vendor’s Raffle to help raise donations for Spirit Haven.
Sign your voting proxies, or make plans to attend Spirit Haven’s Great Works Meeting.
Clear the property by Sunday 3PM. (Assuming Great Works is over.)

Rules & regulations

Permits, licenses, and taxes

All vendors MUST have their sales and use tax or equivalent permit/license displayed in their booth/vending area.

Spirit Haven does NOT collect sales tax for our vendors. Each vendor is required to collect and file their own taxes for sales made during Spirit Haven Festivals and Events.

Vendor applicants will be asked to upload a digital copy of their permit during the application process.

Food and beverage vendor requirements

One person on-site must hold an active, valid Food Manager’s Certification. Other members of your team handling food must have an active, valid Food Handler’s Certification.

Camping during Festival

Approved vendors are invited to camp throughout Festival.
Please indicate on your application if you will be camping behind your booth, and if you will be bringing a tent, camping in your car, or require space for an RV (additional fees for electrical access may apply).
If you did not make prior arrangements to keep your vehicle near your booth, you must park in the general parking lot.
Please indicate on your application if you would like assistance finding a camp to camp with instead of camping behind your booth.

Employees during Setup

On Tuesday/Wednesday, each vendor may be accompanied, for free, by up to two (2) employees to assist them in setting up their booth.
These employees must be listed (with their legal names) on the Vendor’s application.
Unless these employees are active Spirit Haven members who have registered for Festival, they must leave the property before 6pm on Wednesday.

Employees during Festival

Each vendor is permitted to include one (1) employee on their application who will assist them during Festival.
This employee must be an active Spirit Haven member, but does not need to register separately, as approved vendors can add the employee fee to their invoice.
Any additional employees that will be present intermittently or throughout Festival will need to register for the event through the standard registration process.

Items and services prohibited from sale or barter:

Tobacco
Tobacco products (excluding e-cigs and tobacco paraphernalia)
Firearms and/or other incendiary devices
Tattooing (other than henna, temporary tattoos, or face-painting)
Piercing
Other body-modification services
Any item prohibited by local, state, or federal laws that govern the event

Additional Camping and Vending Information

Arrival & setup

Spirit Haven Ranch is a rustic setting in the middle of rural Texas, and camping amenities are relatively primitive. During set-up and festival, we have nearby porta-potties and a private propane Vendor’s Shower available for use. We do not have nor rent cabins, tents, RVs, or other sleeping structures. The water available on Spirit Haven Ranch is non-potable (not drinkable). You are responsible for arranging for, bringing, packing up, and hauling away your own sleeping accommodations (such as a tent or RV), as well as all your own food, water, and anything else you might need in order to be comfortable.

Each vendor space is marked, and vendors should stay within their assigned spaces. Spaces are sized extra wide to accommodate tie downs and access points. Please check-in with your vendor representative before set up. The vendor representative will show you to your assigned space. Spirit Haven does not provide canopies, stakes, tie downs, tables, or chairs. Each vendor must bring everything required for their setup and be prepared for Texas weather. We recommend utilizing heavy duty stakes, corkscrew ground anchors and ratchet straps for tie-downs to accommodate for heavy winds. If paying for electrical access, you will require at minimum 100 feet of electrical cord.

Make yourself aware of all vehicle regulations at Spirit Haven. No vehicles, other than golf carts or personal mobility devices, are allowed on property after dark. If you arrive after 7PM, you will be asked to park your vehicle in the lot, and must either hand-cart your items to Market Square, or wait until 7AM to move your vehicle. If you must leave the property before Sunday, for any reason, please contact your Vendor’s Representative. They will arrange escort for you and your vehicle.

Please keep in mind that this is a “Leave No Trace” event. You are responsible for removing and disposing of your own trash and waste from the property. Carol’s Corner offers a trash removal service for $5 per bag if you require it. If you leave litter you will be assessed a fine.
